How to use the meeting planner
- Add the cities you need under Cities. The first one is the base city; the timeline follows its date and hours.
- The planner boxes the best slot automatically (marked “★ Best”): it prefers hours when everyone is at work, and among those, the hours closest to midday in every city.
- Not quite right? Drag the box to another time, or drag its handle to change the length. You can also click any cell to jump there. Each city’s local time is shown right inside the box.
- Press Copy meeting time and paste the times into your email or calendar invite.
What the colors mean
The timeline uses just three colors, including the Overlap row at the bottom:
| Color | City rows | Overlap row |
|---|---|---|
| Dark | Asleep | Someone is asleep |
| Light | Awake, outside work hours | Everyone is awake, but not all at work |
| Theme color | Work hours | Everyone is at work: ideal for formal meetings |
The thin red line marks the current time. Each cell is one hour; when dragging, the box snaps to half hours. On phones the timeline turns vertical so every hour stays readable.
Watch out for daylight saving time
Europe and North America switch clocks on different dates. In late October 2026, for example, London falls back on October 25 but New York only on November 1, so for one week the gap is 4 hours instead of the usual 5. The planner shows a note whenever a city switches within two weeks of your chosen date.
